Questions schools ask before switching
Straight answers about what KalviOne does today — and what's still on the roadmap.
General
Can we migrate our existing student data?
Yes. Send us your Excel/CSV files or an export from your current software. We map your columns, validate every row, show you what needs fixing, and import students, parents, staff and fee structures. Your original files are never modified.
Can parents use WhatsApp?
Yes. Parents receive attendance alerts, fee reminders with a payment link, receipts, homework and exam reminders on WhatsApp from your school's number. They can also reply with words like "fees" or "attendance" and get an instant answer.
Can teachers use it on mobile?
Yes. Teachers mark attendance, post homework and enter marks from their phone — in the browser or the KalviOne mobile app.
Can we manage multiple branches?
Each branch runs as its own school workspace with isolated data, and your team can be given access to each. A combined group-level dashboard across branches is on our roadmap — talk to us about your setup.
Can we customize fee structures?
Yes. Define fee heads (tuition, transport, exam, etc.), amounts per class, installments and due dates. Counter payments (cash/cheque) and online payments use the same ledger.
Can we generate report cards?
Yes. Report cards are generated from published marks and attendance using your school's template, for one student or a whole class.
Can we export data?
Yes. Most lists and reports export to Excel/CSV, and admins can download a full-school backup at any time.
Can we control permissions?
Yes. Built-in roles cover teachers, accountants, librarians, drivers, office staff and principals. The KalviOne team can also set up custom roles for your school with exactly the permissions you need, and the API enforces them.
How long does onboarding take?
Most schools go live within about a week: setup and import in the first few days, then short role-wise training sessions. Larger schools or complex migrations may take longer; we'll give you a plan upfront.
Do parents need to install an app?
No. WhatsApp alerts and payment links work without any app. The parent app is available for families who want the full view.
Which languages are supported?
The KalviOne console supports English, Tamil and Hindi, and parent message templates can be written in your school's preferred language.
Is KalviOne affiliated with CBSE, ICSE or state boards?
No. KalviOne is independent software. Board names describe the exam and grading patterns you can configure.
Student Management
Can we import our existing student list from Excel?
Yes. Upload a CSV/Excel file with your columns; KalviOne validates every row and shows errors before anything is saved.
Can we generate ID cards and certificates?
Yes. ID cards (single or bulk) and certificates are generated from the student record, so names and dates match the register.
Can one parent be linked to two children?
Yes. Siblings share the parent account, and the parent app lets them switch between children.
Attendance
Can teachers mark attendance from a mobile?
Yes. The teacher view works on any phone browser and in the KalviOne mobile app.
Can a mistake be corrected after submitting?
Yes. Teachers and admins can edit a mark; the change is recorded in the audit log.
Do parents get notified for every present mark?
Schools choose. Most send alerts only for absence and late arrival to avoid message fatigue.
Fees & Finance
Can we customize fee structures per class?
Yes. Each class can have its own fee heads, amounts, installments and due dates.
Can parents pay without installing an app?
Yes. The WhatsApp reminder carries a payment link that opens the checkout in the browser.
Can we still accept cash and cheque?
Yes. The accountant records counter payments and the same receipt and ledger flow applies.
Examinations
Can we use our own grading system?
Yes. Grade bands are configurable per school (e.g. A1 91–100, A2 81–90…).
Can parents see marks while teachers are still entering them?
No. Parents and students see an exam's marks only after the school publishes its results. Unpublishing hides them again.
Can marks be changed after publishing?
Yes. Teachers can correct marks; mark entries are recorded in the audit log.
Report Cards
Can we match our current report card format?
Templates are configurable for logo, subjects, grading and fields. Share your current format during onboarding and we'll set it up.
Can we generate for a whole class at once?
Yes. Bulk generation produces PDFs for every student in the class.
Staff Management
Can we control what each staff member can access?
Yes. Use built-in roles, or have the KalviOne team set up custom roles from a list of permission keys.
Does KalviOne handle staff leave?
Staff leave requests are on our roadmap. Today, staff profiles, roles, allocation and payroll are available.
Homework & Learning
Can teachers attach worksheets?
Yes. Attach files when posting homework.
Do parents need the app?
No. Parents can also get homework through the WhatsApp assistant.
Timetable
Can students see the timetable on mobile?
Yes, in the student and parent apps.
Transport
Does live tracking need GPS hardware?
No. The driver's phone shares location through the KalviOne app.
Library
Can students see their issued books?
Yes, in the student app with due dates.
WhatsApp Automation
Do we need a WhatsApp Business account?
Yes, the school connects a WhatsApp Business number. We help set it up during onboarding.
What if a parent isn't on WhatsApp?
They get the same notification by email. Any alert that can't be delivered on WhatsApp (no number on file, or Meta rejects it) falls back to email automatically.
Can a school turn absence alerts off?
Yes. Same-day absence alerts can be switched off per school, and each parent can mute individual alert types or set quiet hours.
Can parents reply?
Yes. Replies like "fees" or "attendance" get an automatic answer from the student's live record.
Reports & Analytics
Can we export data?
Yes. Reports export to Excel/CSV, and admins can download a full-school backup.
Can management see reports on mobile?
Yes. Dashboards are responsive and work in the mobile app.
